Activity Hall Hire Booking Policy

RESIDENT BOOKING PROCESS

  

To ensure fairness, clarity and to avoid disappointment, Grangetown Generations operates a clear first-come, first-served booking policy for all Activity Hall hire.


Please read the following carefully before making an enquiry.


1. Availability & Enquiries

  • Enquiring about a date does not reserve the Activity Hall.
  • Dates are shown as available until a deposit has been paid and the booking confirmed.
  • We are unable to hold, pencil in or provisionally reserve dates without payment.


2. How to Secure a Booking

A booking is only confirmed when:

  • All event details have been discussed and verbally agreed
    and
  • The required non-refundable deposit has been paid


Until both of these steps are completed, the date remains available to other customers.


3. First-Come, First-Served Basis

All Activity Hall bookings are processed strictly on a first-come, first-served basis.

This means:

  • The first person to complete the booking discussion and pay the deposit secures the date.
  • We cannot guarantee availability until payment is received.
  • Enquiries, visits, phone calls, emails or verbal discussions do not secure a date.


4. Payments & Bookings

  • All Activity Hall bookings and payments (except children's parties) are processed by Adam.
  • All Children's Party bookings and payments are processed by Charlie, and can only be hosted on Saturday's ONLY.
  • A booking is only entered into the diary once payment has been made.


5. Responsibility to Secure Your Date

It is the responsibility of the customer to ensure that:

  • The deposit is paid promptly to secure the desired date.
  • Until payment is received, the Activity Hall may be booked by another party at any time.


6. Important Notice

We strongly recommend that if you have found a date that meets your needs, you secure it immediately by paying the required deposit to avoid disappointment.

We are unable to accept responsibility for dates becoming unavailable where payment has not yet been made.

 PARTNER, CHARITY & COMMUNITY GROUP BOOKING PROCESS


This booking process applies to partner organisations, registered charities, community groups and businesses using the Activity Hall or other spaces as part of collaborative, community or commercial activity.


1. How to Make a Booking

All partner bookings must be made with Adam by:

  • Email
  • Or telephone

Bookings are not confirmed at the point of enquiry.


2. When a Booking Is Secured

A booking is only secured when:

  • All event details have been provided and agreed
    and
  • A written confirmation email has been issued by Grangetown Generations confirming the booking


Until this confirmation email is received, the date and time remain available to other users.


3. Deposits

  • No deposit is required for partner, charity, community group or business bookings.
  • Dates are only secured once a written confirmation email has been issued.


4. Invoicing & Payment Terms

  • All hire charges and any additional services will be invoiced following the booking.
  • Invoices are payable within 30 days unless otherwise agreed in writing.
  • Where agreed in advance, cash payments may be made on the date of hire.


5. Important Notice

We strongly recommend that you do not make any external arrangements (such as advertising, catering or entertainment) until your booking has been confirmed in writing by Grangetown Generations.


We are unable to accept responsibility for bookings that have not yet been formally confirmed by email.
